Olleco, who provide sustainability services to the hospitality industry, had manual payroll approval processes and a reliance on spreadsheets to process payroll for their 700+ colleagues across 19 sites in the UK. Here’s how they used Cintra Groups with incredible results.

The challenge

  • Manual processes: Olleco’s payroll approval process was managed through spreadsheets, consisting of one weekly payroll and one monthly payroll.
  • Reliance on spreadsheets: Individual spreadsheets were sent to site managers across the country for approval.
  • A need for simplicity: The manual handling of spreadsheets caused huge inefficiencies, and Olleco knew they needed a streamlined way for managers to view and approve payroll data.
  • Time constraints: The short time frames they had to run their payrolls—along with 19 separate approvals—made for a time-consuming process.

The solution

  • Segmenting Olleco in Cintra Groups: Olleco segmented all their UK sites within Cintra Groups, giving managers and payrollers a centralised platform to collaborate.
  • Rolling out Groups: Both payrolls were integrated into Groups, giving their site managers the ability to enter their team’s payroll data directly into the platform.
  • Flexible and tailored accessibility: Groups was configured based on each site's unique needs and who would be submitting data, so that the right individuals saw the right information.
  • Real-time payroll information: Managers and payrollers gained instant access to payroll insights throughout every payroll cycle—instead of waiting on spreadsheets and reports.
